ASEH 2022 - in-person and virtualASEH 2022 will have a virtual component a few weeks after the in-person conference. We expect a large in-person conference and a large virtual portion. Here are some answers to common questions about ASEH 2022. We will update this page frequently with information about the conference. What safety precautions will be in place for ASEH 2022 in Eugene? All attendees will be required to show proof of vaccination in order to pick up conference badges. The hotel will provide extra cleaning, and will enforce all local restrictions, including Oregon's indoor mask requirements. Will I need to wear a mask for the entirety of this conference? Yes, attendees will be required to mask at all time except when actively drinking or eating. We strongly encourage attendees to wear high quality N-95 or KN-95 masks. Must I be vaccinated to attend this conference? What meets the criteria for vaccination? You must be fully vaccinated to attend the conference. THIS INCLUDES A BOOSTER SHOT (3rd dose). Please bring proof of your vaccination status, either digital or as a hard copy. Do I need a negative test to attend the conference? No, but we strongly urge you to do a rapid test before and after the conference. My country requires a negative PCR test for me to return. Will I be able to obtain one in Oregon? Lane County, Oregon offers free testing [information current as of 2 February]. There is a free testing site next door to the hotel in the Hult Center for Performing Arts, which promises PCR test results in a couple of hours. You have to make an appointment as of right now, and they do not currently take them more than a day or two in advance. The Lane County Public Health department maintains a COVID information site and a COVID testing site. Calling them at (541) 682-1380 will provide the most accurate information. Rapid PCR test results may also be available at the urgent care centers and larger drug store chains for a fee. Rapid PCR tests are also available at the Portland and Seattle-Tacoma airports for international travel for a fee. First, we would like to see you, and many, many people are planning to travel to Eugene. ASEH has not held in-person conference with a vetted program in nearly three years, and we are committed to having a full program. Offering a virtual presentation option accommodates those unable or unwilling to make the trip. In-person and virtual will allow the broadest possible participation. Practically, ASEH has contractual obligations that commit the organization to pay for any unfilled hotel rooms and catering costs below a negotiated minimums, as well as meeting space rental and other ancillary costs. Canceling the in-person conference and breaking the contract would cost ASEH nearly $150,000. The virtual component of ASEH 2022 will occur a few weeks after the in person conference, in April 2022. Part of my panel cannot come to Eugene, should I present in person or in virtual ASEH 2022? It is up to you, and you can do both if you like. Your panel can proceed in person with fewer presenters. The program committee will make sure that you can present on a panel if all members of your panel as originally constructed cannot attend in person. Also, you can opt to move your entire panel to the virtual portion of the conference, even if all or part of the panel took place in person in Eugene. If you are a presenter, please fill out THIS FORM to inform us how you will participate in ASEH 2022. Can I Zoom into my panel to present at the in-person conference? Unfortunately, it is simply not possible to record or broadcast, and offer live interaction at all in person panels. The equipment is prohibitively expensive, but even more important, there is not sufficient bandwidth to provide adequate connections for remote participation. With the acceptance of the other members of the session, panels of three may include a maximum of one prerecorded presentation, and panels of four or more can include a maximum of two prerecorded presentation. We may, with consent, record some sessions and post them online. Will there be separate registration for the in-person and virtual components? No. There is a single registration that includes in person and virtual attendance. Providing a virtual component adds significantly to technology and labor costs, both of which will be supported solely by registration fees. Presenters are encouraged to present both in person and virtually to reach the largest possible audience. For one price, you will get admission to both conferences! What are cancellation and refund policies for in-person and virtual conference registration and events? ASEH will refund paid fees based on the date and your presentation and attendance choices. Please fill out THIS FORM to request a refund of your paid ASEH 2022 fees. Policies if you fill out this form on or before February 23: Full cancellation (no presentation or attendance in person or virtual): ASEH will refund all fees paid less a fee - $40 for non-student registration/$20 for student registration. Presenting/attending virtual only: ASEH will refund all fees paid for special events, breakfasts, donations, carbon credits, as requested. After February 23: Full cancellation (no presentation or attendance in person or virtual): ASEH will refund all fees paid less a fee - $65 for non-student registration/$30 for student registration. Presenting/attending virtual only: ASEH will refund all fees paid for special events, breakfasts, donations, carbon credits, less a fee - $40 for non-student registration/$20 for student registration. We will process refunds as quickly as we can. Please be patient with us as we try to accommodate all requests.
